Work order and asset statuses

The following list of workflow statuses are offered “out of the box” with Trimble Unity, however they can be configured by the Trimble Professional Services team for your organization’s workflow.

Open

A work order is normally created in Open status. A supervisor will assign field crews, add assets and so forth to the work order. Once the work order has been downloaded to a mobile device, it is not available for update on Trimble Unity Web.

On Site

When the field crew reaches the location of the work, they will set the status to On Site. If it is a single asset or location-based work order, this status may trigger a data collection form to be created on the mobile device.

For multi-asset work orders, the field crew will start to work through the list of assets assigned to them.

Status of asset Description
Pending

An asset will be in Pending status before any data collection/work has been carried out on the asset. Usually the crew have an option to Inspect Asset or Repair Asset as appropriate which will trigger a data collection form for the asset. The form will be worked through and completed for each asset.

Alternatively, if the field crew cannot inspect or work on an asset for any reason they can choose to mark the asset as 'Skipped' or ‘Failed’.

Inspected/ Repaired/ Replaced/Read

Once data collection on an asset has been successfully completed, the asset will have a status of Inspected/Replaced/Read etc. as appropriate. This is configurable as part of the workflow definition.

The field crew will then move onto the next asset, or if all assets have been done (or skipped), then they will change the status of the overall work order to Complete.

Skipped (or Failed)

If a crew cannot inspect or work on an asset for any reason, they can set the status of the asset to Skipped.

This still registers as progress against the list of assets on the work order and contributes to progress shown on the Asset Progress bar, however the status is marked as ‘Failed’ on the Asset Progress bar.

Complete

When all assets have been completed or skipped, the field crew can set the status of the work order to Complete. Once the mobile device has been synched to the Trimble Unity Web, the work order is removed from the field crew's Work Order list.

The work order is now back under the control of the supervisor using Trimble Unity Web.

Closed

The supervisor can review the results of the data collection by viewing the forms linked to the work order. If satisfied, they can validate the work order and set its status to Closed.
